DUTIES

Clerical
• Copy, print, compile records for folders and binders, keep an organized filing system & run errands
• Place orders for supplies and materials from vendors and CEF Press
• Handle travel arrangements, filing forms with USA Ministries, etc., for state ministry development

Financial
• Pick up checks at PO Box, deposit them at bank
• Sends out contribution receipts
• Help with printing, mailing and recording donations from appeal and other letters
• Help develop and manage a donor database

Social Media
• Maintain lists on MailChimp for ease of communication to donors, volunteers, Chapter prayer supporters, and others.
• Help design, format and prepare periodic newsletters and articles to load onto website for printer-friendly copies.
• Update website and Facebook page

Meetings, Travel and Event Planning
• Schedule meetings and arrange phone calls
• Help state coordinator/director with event planning and execution, especially CYIA camp
• Attend CYIA and handle administration with Camp Director
• Help prepare for the State Board and staff meetings
o Copy agenda materials & create packets for members
o Order and provide lunches for meetings

Public Relations
• Greet office and event guests

Communication & Other
• Help facilitate the dissemination of information to local chapters
• Serve as liaison with USA Ministries for chapter and information requests
• Gather and assimilate monthly chapter ministry reports, and collect committee minutes
• Ensure chapters accurately report monthly statistics with USA Ministries

QUALIFICATIONS

• Active in a local church
• Two years’ minimum experience in administrative support role in a professional environment

General

• Fulfilling the purpose of Child Evangelism Fellowship in the chapter
• Executing and accomplishing the plans and objectives of USA Ministries, the local committee and state board
• Overseeing all aspects of the ministry within the local chapter with the assistance of the local committee, volunteers and staff

Spiritual

The local director should demonstrate a balanced approach to Christian living in:

• a daily walk with God

The local director must: 1) understand that the foundation of ministry is prayer and stay committed to developing, implementing, and growing an effective prayer program.

Specific

Ministries Supervision

Promotes the ministry in the local chapter with the goal of increasing church partnerships and primary ministries of After-School Good News Club (ASGNC) and 5-Day Clubs staffed by Christian Youth In Action® (CYIA).

  • Recruits staff and volunteers, ensuring that they are adequately trained and equipped for ministry.
  • Maintains direct ministry contact with children through CEF sponsored programs.
  • Builds and maintains Christian Youth In Action® (CYIA) ministry. Enlists staff and volunteers to help recruit short-term missionaries. Provide additional ministry opportunities to CYIA missionaries.
  • Arrange and help present training such as Kick-Off & Quick Start Training for ASGNC in the fall and Jump Start in February for CYIA and potential CYIA.
  • Promotes further opportunities to serve-including Short-term Missions and other CEF ministries.
  • Participates in the CYIA training school as assigned by the state director.

Leadership Development

  • Develops with the local committee a strategic plan that comports with the State Board’s plan, and effectively communicates it and oversees its implementation .
  • Strives to develop and establish ministry among the children in unreached cities, towns and school districts within the local chapter area.
  • Recruits people to do the work of the ministry (both paid and volunteer).
  • Meets regularly with the paid and volunteer staff members to provide encouragement, counsel, evaluation of ministry goals and leadership development.
  • Encourages the local committee to take advantage of available committee training .
  • Works with the local committee and paid staff to raise sufficient funds to accomplish the plans and objectives laid out by the local committee.
  • Follows the policies and procedures of the state and national organizations and sees that all staff and volunteers are adhering to the policies.
  • Completes routine employee appraisals with all paid staff.
  • Oversees (and teaches if necessary) the teacher training program and provides the necessary training for the staff to perform their job well.

Administrative Responsibilities

  • Ensures that all policies and procedures are being followed.
  • Keeps adequate records.
  • Works with the local committee to develop an annual budget at the beginning of the fiscal year for approval by the local committee and submission to the State Board.
  • Submits the budget of the local chapter to the state director for state board approval.
  • Ensures that all reports, minutes, communications and moneys are forwarded to the proper offices in a timely manner.
  • Ensures that receipts and thank-you notes are mailed in a timely manner.
  • Communicates accurately and in a timely manner with the state director and local committee.
  • Attends all local directors meetings sponsored by the state office.
  • Performs other duties as assigned by the local committee and/or state director.

Software Responsibilities

The following skills will be needed. The level of proficiency can be developed.

  • MS PowerPoint and e-mail intermediate.
  • MS Publisher, Word, Excel and Adobe Acrobat basic.
  • Computers, Projectors and Blockrockers are used by some ASGNCs.
  • MailChimp site is used to connect with volunteers and to give updates on ministry

State Director of Training

  • Have a demonstrated a solid walk with Christ for a minimum of five years
  • Trustworthy and honorable in conversation and confidentiality, inside/outside the office
  • Good inter-personal skills, organizational skills and communication skills
  • Self-motivated and able to multi-task
  • Be experienced in youth ministry and mentorship with teens
  • Proficient keyboarding, clerical and computer skills- is familiar with email, internet, Dropbox and Microsoft Office software; Excel, Power Point, Publisher & Word
  • Computer graphic skills are helpful but not required
  • Preferred experience working with volunteers

Specific Responsibilities

Christian Youth in Action

  • Oversee the Christian Youth in Action (CYIA) program and planning committee
  • Determine the reporting structure for staff and delegate according to roles
  • Work with the designated administrator to prepare and timely distribute information to staff and students
  • Set up a budget to outline the cost of Training School.
  • Determine, in consultation with the Class Instruction Coordinator, Training School’s schedule; e.g. tracks, activities to include, etc.
  • Set and enforce key deadlines for registrations, Training School fees to be collected, schedules to be finalized, etc.
  • Track and account for all receipts and expenses
  • Work with the CYIA Council, and employ social media and other means to promote CYIA

Oversee Training for Local Coordinators and Directors & Staff

  • Develop a Plan of Action on how to accomplish the training and development for local chapters
  • Develop a Plan of Action to provide training support to regions without chapters
  • Coordinate IOT Courses and ensure that IOT’s maintain their credentials
  • Provide/oversee on-site training and support for curriculum workshops

Teacher Training Assistance for developing and existing local areas

  • Implement the pattern for the best GNC training and to establish it in the new areas
  • Encourage that pattern of training to be implemented in existing areas
  • Visit existing area trainings to gain more insight and possible techniques and share with all chapters
  • Provide Teaching Children Effectively-1 (TCE-1) courses twice a year, once being at CYIA, if feasible
  • Oversee and assist with Super Seminars and Quick Start training, particularly with developing chapters

Other Responsibilities

  • Take necessary training and/or meet requirements to provide higher level of trainings for the state
  • Raise needed financial support
  • Ensure compliance of CEF policies and procedures
  • Willing to travel throughout the state

Assistant State Director

Overview

The Assistant State Director works alongside the State Director in:

  • Fulfilling the purpose of Child Evangelism Fellowship® (CEF) within the Commonwealth of Virginia.
  • Executing and accomplishing the plans and objectives of the CEF of Virginia state board and CEF USA Ministries.
  • Assisting in the oversight and building of ministry within the state, particularly pioneering and fulfilling the State Board’s strategic regional planning.

QUALIFICATIONS

The candidate must be confident of God’s calling and:

  • Have a demonstrated love for Jesus Christ
  • Have a passion to reach children with the Gospel
  • Possess exemplary Christian character
  • Be experienced in ministry or mentorship with teens and young adults
  • Possess leadership capabilities and experience
  • Have a background in ministry
  • Exhibit proven administrative ability, especially in being disciplined and organized
  • Demonstrate excellent communication skills (interpersonal, written, verbal and digital)
  • Possess effective presentation skills to establish church and community partnerships
  • Have at least one year of Bible college training. (In some cases, candidates may be allowed to test out of this requirement.)

Responsibilities

The Assistant State Director will provide assistance to the State Director, local directors and local committees in building ministry throughout the Commonwealth of Virginia.  This objective will include, but not be limited to:

  • Spearheading the state’s pioneering effort by developing new chapters from unchartered areas:
    • Recruit potential committee members and volunteers
    • Assist in the identification and hiring or promoting staff
  • Assisting existing chapters to develop areas in accordance with the State Board’s strategic regional plan
  • Establishing and providing oversight of externship program
  • Establishing CEF student organizations at Virginia Christian colleges, enlisting them to get involved in CEF ministry
  • Helping with the state’s training efforts to conduct CEF ministry
  • Assist State Director with strategic planning
  • Assist with event planning and coordination of promotional events and yearly statewide retreat
  • Raise needed financial support

Office Manager & Social Media Coordinator

Full Time

Tidewater, Virginia

Overview

A Full-Time Office Manager is needed for CEF of Virginia, Tidewater Chapter.  This position will be 6 hours/day for a five-day work week, or 30 hours/week with an occasional half day on Saturday.  The potential exists for 40 hours/week as the ministry outreach grows.  The office manager will report to the Local Coordinator/Director and oversee the administrative operations for the Chapter.  Specific responsibilities include, but are not limited to:

GENERAL QUALIFICATIONS

  • Purchases necessary office supplies and maintain inventory of CEF materials
  • Serves as Child Protection Coordinator by ensuring child protection policy compliance of all employees and volunteers for the chapter and keeps accurate records on GNC roster spreadsheet
  • Collects all GNC and 5 DC stats reports and inputs into monthly statistical reporting system
  • Communicates with GNC Team Leaders via email and phone  
  • Collects student registration forms from GNC Team Leaders for all enrolled students in GNC and ensure all GNC have approved facility requests on file
  • Creates monthly prayer calendar and sends weekly prayers and praises to state and local chapter
  • Compiles outreach packets for distribution to pastors, churches and schools and for special events
  • Prints and sorts GNC Registration Forms for all schools, CYIA Packets and other resources as needed
  • Creates yearly student demographic list via VA Dept of Education for accurate GNC stats
  • Maintains updated list of all churches within chapter boundaries – 5 cities for outreach
  • Formats online registration forms for each GNC on chapter website
  • Requests Church Mutual insurance certificates for each school district
  • Cleans office to include light dusting, vacuuming and removing trash
  • Maintains files (both electronic and hard copy) of policies, general office procedures, correspondences and various statistical reports in accordance with record retention guidelines with monthly backup to external hard drive

WEB COMMUNICATION / SOCIAL MEDIA

  • Creates and maintains Facebook page for CEF of Tidewater by posting articles, testimonies and upcoming events.
  • Updates chapter website with newsletters, videos and postings from CEF Headquarters to keep site fresh and current
  • Maintains segmented lists on MailChimp & evite for ease of communication to specific groups of people (i.e. volunteers, committee, staff, supporters, etc.)
  • Sends evites for training, yearly fall kickoff, volunteer appreciation and other events. 
  • Assists in designing newsletter, formatting hard-copy of newsletter and mailing to supporters

MINISTRY SUPPORT SERVICES

  • Supports fund-raising efforts by overseeing campaign mailings and aiding in banquet coordination
  • Supports training by ensuring chapter has a supply of 15 Leader/Admin Training Handbooks and 30 Quick Start Training Manuals and other needed materials
  • Assists with teachers’ training, developing and presenting Power Point presentations and computer issues/navigation
  • Oversees volunteer help on special projects.
